Depending on your relationship with us, we may process: name and contact details; guardian contact details for participants under 18; the instrument, programme and tuition details required to administer support; information you voluntarily include in enquiries; membership records; donation and payment records required by accounting law; and technical data such as IP address, browser type and pages visited when you use this website.

We process personal data to administer programme applications and allocations (contract and legitimate interest), to communicate with participants, guardians, members and partners (legitimate interest or consent), to maintain membership and statutory records (legal obligation), to fulfil bookkeeping and reporting duties (legal obligation), and to operate and secure this website (legitimate interest). Photography or recording of participants at concerts is used for communication only where consent has been given.

Data is collected primarily from you: application forms, enquiry forms, email, telephone contact and membership registration. In some cases data is received from a referring school, music institute or guardian with the appropriate authorisation.

Personal data is accessible only to board members and volunteers who need it for their task. We use service providers for email, document storage and website hosting acting as processors under data processing agreements. We use Google Workspace for Nonprofits for the association's email and document services under the domain used for info@ovacells.com.

We do not sell personal data. Where a processor transfers data outside the EEA, the transfer relies on an adequacy decision or the European Commission's Standard Contractual Clauses.

Programme and participant records are retained for the duration of participation and for a reasonable follow-up period thereafter. Accounting records are retained for the period required by Finnish accounting legislation. Enquiry correspondence is deleted once it is no longer needed. Data no longer required is erased or anonymised.

You have the right to access your data, to have inaccurate data corrected, to request erasure, to restrict or object to processing, to data portability where applicable, and to withdraw consent at any time where processing is based on consent. Requests can be made to info@ovacells.com. You may also lodge a complaint with the Finnish Data Protection Ombudsman (Tietosuojavaltuutetun toimisto).

Data is stored in access-controlled systems protected by strong authentication. Paper records are kept in locked storage at the registered office. Volunteers and board members are bound by confidentiality regarding participant information.
