Privacy policy

Last reviewed by the executive committee in January 2026. This policy applies to everyone whose information we hold: members, program participants, volunteers, donors, partners and visitors to this website.

Who we are

Senikau Association Committee (Inc.) is an incorporated non-profit association registered in the Republic of Vanuatu under Registration No. 501645, with its office at Kumul Hwy, Port Vila, Vanuatu. For any question about this policy, contact us at sobhiaabdalnabi@gmail.com or +67823490.

What we collect

  • Membership and program records: name, community, contact details, household size where relevant to eligibility, and attendance.
  • Volunteer records: contact details, availability, references and safeguarding declarations.
  • Correspondence: what you send us by email, letter or the contact form, together with our reply.
  • Images and recordings: photographs, audio and video from activities, collected only under signed consent.
  • Website use: aggregate, non-identifying page statistics. We do not use advertising trackers and we do not sell data.

Why we use it

To deliver and improve programs; to administer membership and elections; to meet our reporting duties to members, donors and Vanuatu authorities; to safeguard children and adults at risk; and to reply to you. We do not use your information for any purpose incompatible with these without asking first.

Custom knowledge and cultural material

Traditional knowledge, songs, designs and oral history remain the property of the communities and individuals who hold them. Such material is recorded only with free, prior and informed consent, is stored under the access conditions the holders set, is never licensed or sold, and is returned to the community in copy. Consent may be withdrawn at any time and the material will be withdrawn from public access.

Sharing

We share personal information only with the individual concerned, with the staff or volunteers who need it to run an activity, with a donor in aggregate and anonymised form, or with an authority where we are required by law or where a child or adult may be at risk of harm. We do not transfer personal data to third parties for marketing.

Storage and retention

Records are held in the Port Vila office in locked storage and, where digital, on password-protected accounts accessible to named staff only. Program records are kept for seven years for audit and then destroyed. Safeguarding records are retained longer where required. Photographs held under consent are reviewed every three years.

Your rights

You may ask what we hold about you, ask for a correction, withdraw consent for photography or recording, ask us to delete records we are not required to keep, and complain about how we have handled your information. Children

Children take part in our youth activities with the written consent of a parent or guardian. We do not publish a child's full name alongside their image, and we do not collect information from children through this website.

Changes

Material changes to this policy are approved by the executive committee and announced at the annual assembly. The review date at the top of this page always reflects the current version.
